Fees & Payments

• All tickets must be paid in full to guarantee registration.
• Early registration is encouraged to secure discounted rates before price increases.

Cancellations & Refunds

• Tickets are non-refundable under any circumstances, including visa denials.
• Refunds will only be issued if the event is cancelled or rescheduled by the organisers.
• Complimentary and rollover tickets are not eligible for refunds.

• Visa support letters are issued within 3 to 5 working days after both payment and form submission.

To protect the integrity of our exhibitors and sponsors:

• Only official sponsors and exhibitors are permitted to market or promote their services within the event premises.

• Unauthorised solicitation, including distribution of flyers, business cards, or promotional materials outside designated exhibit spaces, is strictly prohibited.

🔴 Penalty for Violation
Attendees found engaging in unauthorised marketing or solicitation will be immediately removed from the event without refund, and a fine equivalent to the full exhibition fee may be applied.

This policy ensures a fair environment for all participants and protects the investments of our official partners.

• Delegate App Access: UKABS provides a secure networking app to facilitate meetings, messaging, and professional engagement between delegates.

• Data Scraping Prohibited:
  Any form of data scraping, bulk downloading, copying, or unauthorised extraction of delegate profiles, emails, or contact details from the networking app or official platforms is strictly forbidden. Violators will be removed from the event and may be subject to legal action.

• Permitted Use of Delegate Information:
  Delegate data may be used by UKABS to:

  • Send essential event-related updates and notifications

  • Share relevant post-event materials and follow-ups

  • Inform delegates of future UKABS events, opportunities, and newsletters

• Third-Party Access:
  UKABS does not sell or rent delegate data to third parties. Only authorised service providers involved in summit delivery (e.g. app providers, registration platforms) may access data strictly for operational purposes and in compliance with UK GDPR and applicable data protection laws.

Notification of Changes:

Substitution Policy:
In the event a confirmed speaker is unable to attend due to unforeseen circumstances, UKABS will make reasonable efforts to find a suitable replacement of equal stature and expertise.

Liability Waiver:
UKABS shall not be held liable for any direct or indirect losses resulting from changes to the event programme, including travel or accommodation adjustments made by delegates. Attendees are advised to make flexible and refundable arrangements where possible.

📸 Image Use & Media Consent

• By participating in the summit, you grant The Promota Africa Group and its partners the right to use your name, job title, company affiliation, photographs, video recordings, and audio clips for promotional, educational, and informational purposes in perpetuity and without compensation.
• This includes publication on the UKABS website, brochures, post-event reports, press releases, and social media.
• Selected sessions may be recorded, livestreamed, or made available on-demand. Your presence implies consent to appear in such content.

• The views and opinions expressed by speakers, panellists, or facilitators are their own and do not necessarily reflect those of UKABS, The Promota Africa Group, or its partners.
• UKABS does not accept liability for any advice, information, or opinions shared by speakers during the summit or in post-event materials.

🛡️ Insurance & Liability

• Delegates are strongly advised to take out comprehensive insurance that covers:

  • Personal health and medical emergencies
  • Travel disruptions, including delays and cancellations
  • Personal property and valuables
  • Inability to attend the event due to illness or unforeseen circumstances

UKABS accept no liability for any losses, injuries, damages, or expenses incurred before, during, or after the summit.

UKABS shall not be held responsible for any failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to:

In such cases, ticket fees will not be refunded but may be transferred to a rescheduled event.

• All food and beverage services are arranged through the venue’s official catering provider.
• Delegates with specific allergies, dietary restrictions, or food intolerances are responsible for communicating their needs directly to the venue in advance.
• UKABS and The Promota Africa Group assume no liability for allergic reactions or dietary issues arising from meals provided.

🚨 Fraud & Phishing Warning

• Please remain vigilant against fraudulent emails or messages claiming to:

  • Sell attendee or delegate lists
  • Offer hotel bookings or discounted accommodations
  • Provide unauthorised visa assistance
• UKABS does not sell or share personal data with third parties and assumes no responsibility for financial loss or data compromise due to phishing or scams.

🧾 Code of Conduct & Admission Policy

• All participants must conduct themselves professionally and respectfully.
• Delegates are prohibited from sharing, duplicating, or reselling their registration credentials or name badges.
• The organisers reserve the right to refuse admission or remove individuals from the venue for:
  • Disruptive or unsafe behaviour
  • Failure to comply with event rules
  • Security risks or unauthorised activities
• No refunds will be given to individuals removed for breaching this code of conduct.
